Bike Oxford 2026 – Terms and Conditions

These terms apply to all participants fundraising for Restore. Additional conditions apply only to those taking part with a Charity Place, as set out below.

1. Event organisation and data

1.1 The event is organised by a third-party organiser, Iconic Cycling Events (the trading name of Breathing Space Activities Limited). Restore will provide eligible participants with a code that allows them to book a free place at the event directly with the organiser.

1.2 Participants who choose to book a place using this code will need to register directly with the organiser and may be asked to provide additional personal information required for the safe planning and delivery of the event.

1.3 Restore may share limited relavant information with the organiser to support participation in the event. For further details on how your data will be used by Restore, please see www.restore.org.uk/privacy-notice.

2. Charity Place – registration and fundraising conditions

The following clauses apply only if you have received a free entry code through Restore.

2.1 You agree to pay a non-refundable registration fee of £5 to secure your Charity Place. This fee does not count towards your fundraising target.

2.2 Restore will provide participants who have secured a Charity Place with a unique code that allows them to book a free place at the event directly with the event organiser.

2.3 Once a code has been issued, Restore is not responsible for the booking process. Participants must use the code to register for the event directly with the organiser and comply with the terms and conditions set by the organiser.

2.4 Each participant commits to raising a minimum of £150 for Restore, excluding Gift Aid, in addition to the registration fee. Gift Aid cannot be used to meet this minimum or to cover any fundraising shortfall. You agree to raise as much as possible above this amount.

2.5 Entry codes are non-transferable and cannot be deferred. If you are unable to take part after receiving a code, please inform Restore’s Fundraising and Communications Team via email (fundraising@restore.org.uk) as soon as possible.

2.6 You must complete any registration required by the event organiser by their stated deadline. Failure to do so may result in you being unable to participate in the event.

3. Own Place participants

3.1 If you have secured your own place directly with the event organiser and are fundraising for Restore, the registration fee, minimum fundraising target and shortfall liability set out in section 2 do not apply.

3.2 Own Place participants are encouraged to raise as much as possible for Restore, but there is no minimum fundraising requirement.

4. Circumstances where a Charity Place may be withdrawn

4.1 Restore is committed to supporting participants to have a positive fundraising and event experience. In some circumstances, Restore may review or withdraw a Charity Place (or issued entry code) where participation requirements are not met. This may include situations where:

a) Behaviour associated with your participation could reasonably be considered to bring Restore into disrepute.

b) You do not complete the event organiser's registration within two weeks of receiving your entry code, or within three days where the event is taking place within four weeks.

c) A fundraising page has not been created at least a month before the event, or within 72 hours if signing up closer to the event date.

5. All participants

5.1 Restore does not organise this event and accepts no liability for any injury, illness, death, loss or damage to personal property, or any costs or claims arising from your participation.

5.2 You confirm that, to the best of your knowledge, you are in good health and acknowledge that you are taking part in the event at your own risk.

5.3 You agree to follow all reasonable instructions from the event organiser and their authorised representatives and accept responsibility for your own actions.

5.4 The event itinerary may change due to weather conditions or other unforeseen circumstances. You should refer to the event organiser’s terms and conditions for further information.

5.5 All funds raised must be paid to Restore as soon as possible and no later than six weeks after the event. Payments may be made via JustGiving, debit or credit card, cheque or bank transfer.

5.6 You agree that Restore may use photographs, videos or other images in which you appear, taken at the event, for marketing purposes without payment. Restore will not identify individuals by name without their consent. If you do not wish to be photographed or for images to be used, please notify Restore by emailing fundraising@restore.org.uk.
